{"id":3852,"date":"2023-11-21T05:43:34","date_gmt":"2023-11-21T05:43:34","guid":{"rendered":"https:\/\/mcsoc-forum.org\/site\/?page_id=3852"},"modified":"2026-01-27T13:12:48","modified_gmt":"2026-01-27T13:12:48","slug":"presenter-instructions","status":"publish","type":"page","link":"https:\/\/mcsoc-forum.org\/site\/index.php\/presenter-instructions\/","title":{"rendered":"Presentation Guidelines &amp; Logistics"},"content":{"rendered":"\n<div style=\"border: 3px solid #0072C6; background-color: #F9F9FF; border-radius: 12px; padding: 25px; font-family: Arial, sans-serif; color: #003366; box-sizing: border-box;\">\n\n  <h2 style=\"color: #0072C6; margin-top: 0;\">Presentation Guidelines<\/h2>\n\n  <p style=\"font-size: 16px;\">\n    The conference will be conducted with both onsite and online participation. \n    For smooth operation, all presentation slides must be uploaded to <strong>EDAS<\/strong> in advance by \n    <span style=\"color:#E65100; font-weight:bold;\">December 10<\/span>.\n  <\/p>\n\n  <p style=\"font-size: 16px; background-color: #E3F2FD; padding: 10px; border-left: 4px solid #1976D2; color: #0D47A1;\">\n    <strong>Each presentation is allocated 15 minutes:<\/strong> <em>10 minutes for the talk<\/em> and <em>5 minutes for Q&#038;A<\/em>.\n  <\/p>\n\n  <h3 style=\"color: #7B1FA2; margin-top: 20px;\">Onsite Presenters<\/h3>\n  <ul style=\"font-size: 16px; padding-left: 20px;\">\n    <li>Prepare your slides in <strong>PowerPoint or PDF format<\/strong>. The slide design is flexible; however, authors are requested to insert the <strong>MCSoC logo<\/strong> (see the bottom of this page) on the first slide.<\/li>\n    <li>\n      Onsite presenters are <strong>not required<\/strong> to upload a prerecorded video to EDAS, but must upload their <strong>.ppt or .pdf slides<\/strong>. \n      <br>\n      However, if authors wish to have their presention&#8217;s pre-recorded video uploaded to the \n      <a href=\"https:\/\/www.youtube.com\/@MCSoC-Forum\" target=\"_blank\" style=\"color:#0072C6; font-weight:bold; text-decoration:none;\">\n        IEEE MCSoC YouTube Channel\n      <\/a> \n      after the conference \u2014 for broader community access and to showcase their work \u2014 they are also required to upload a pre\u2011recorded video of their talk.\n    <\/li>\n  <\/ul>\n\n  <!-- Added Note -->\n  <div style=\"font-size: 15px; background-color: #FFFDE7; padding: 12px; border-left: 4px solid #FBC02D; color: #5D4037; margin-top: 10px; border-radius: 6px;\">\n   <strong>Note:<\/strong> Uploading a prerecorded video of your presentation slides to the \n<a href=\"https:\/\/www.youtube.com\/@MCSoC-Forum\" target=\"_blank\" style=\"color:#0072C6; font-weight:bold; text-decoration:none;\">\n  IEEE MCSoC YouTube Channel\n<\/a> is optional and <em>not automatic<\/em>. Authors must explicitly request this by contacting the conference chairs at \n    <a href=\"mailto:mcsoc.forum@gmail.com\" style=\"color:#0072C6; font-weight:bold; text-decoration:none;\">\n      mcsoc.forum@gmail.com\n    <\/a>  and provide their agreement before the slides can be uploaded.\n  <\/div>\n\n  <ul style=\"font-size: 16px; padding-left: 20px;\">\n    <li>\n      Bring a copy of your slides on a <strong>USB flash drive<\/strong> to the venue. \n      This will serve as a backup in case the version uploaded to <strong>EDAS<\/strong> encounters any issues.\n    <\/li>\n    <li><strong>Onsite equipment includes:<\/strong> projector, laser pointer, microphones, and a laptop with sound\/video playback. Internet access is available at the venue.<\/li>\n    <li>\n      The committee will prepare all presentations in advance by downloading them to the laptops in the presentation rooms. \n      <strong>Presenters must verify and confirm their slides on the session laptop before their talk begins.<\/strong> \n      <span style=\"color:#D32F2F; font-weight:bold;\">\n        Onsite presenters are not permitted to use personal laptops, as the session laptop is dedicated to hosting Zoom for online attendees and presenters.\n      <\/span>\n    <\/li>\n  <\/ul>\n\n  <div style=\"font-size: 16px; background-color: #F1F8E9; padding: 12px; border-left: 4px solid #388E3C; color: #2E7D32; margin-top: 10px; border-radius: 6px;\">\n    <strong>Recommendation:<\/strong> Presenters are encouraged to use the <strong>version of slides uploaded to EDAS<\/strong>. \n    If an author has made significant changes after the upload, they may use their updated version during the presentation. \n    <em>However, this option is not recommended for management purposes<\/em>, as it may cause inconsistencies in session preparation.\n  <\/div>\n\n  <h3 style=\"color: #1565C0; margin-top: 20px;\">Online Presenters<\/h3>\n  <ul style=\"font-size: 16px; padding-left: 20px;\">\n    <li>Online presenters (interactive and non\u2011interactive) are required to upload their <strong>.ppt or .pdf slides<\/strong> to EDAS.<\/li>\n    <li>They must also upload a <strong>10\u2011minute prerecorded video<\/strong> (MP4 or narrated PowerPoint) to EDAS.<\/li>\n    <li>Presentations will be delivered live via <strong>Zoom<\/strong> and streamed to both onsite and online audiences.<\/li>\n    <li>The <strong>session chair<\/strong> with the help of the <strong> room moderator <\/strong> will play the prerecorded video during the presentation slot. The presenter is expected to be online, and after the video playback, he\/she will answer questions from both the onsite and online audience.<\/li>\n  <\/ul>\n\n  <div style=\"font-size: 16px; background-color: #E8F5E9; padding: 12px; border-left: 4px solid #43A047; color: #2E7D32; margin-top: 10px; border-radius: 6px;\">\n    <strong>Interactive vs. Non\u2011Interactive Online Presenters:<\/strong><br>\n    <em>Interactive presenters<\/em> are expected to be online during their session. After the prerecorded video is played, they will answer questions live from both onsite and online participants.<br>\n    <em>Non\u2011interactive presenters<\/em> provide their prerecorded video and slides, but do not join the session live. In this case, the session chair will manage the playback, and no live Q&#038;A will be conducted.<br>\n    <span style=\"color:#D32F2F; font-weight:bold;\">\n      Please note: The non\u2011interactive mode is not recommended. Authors choosing this option must inform the organizing committee in advance and provide a clear reason for their selection.\n    <\/span>\n  <\/div>\n\n  <h3 style=\"color: #EF6C00; margin-top: 20px;\">Committee Preparation<\/h3>\n  <p style=\"font-size: 16px; background-color: #FFF3E0; padding: 10px; border-left: 4px solid #FB8C00; color: #E65100;\">\n    The committee will download all presentation materials (slides and prerecorded videos) from EDAS in advance and prepare them on the laptops in the presentation rooms.\n  <\/p>\n\n  <p style=\"font-size: 16px; margin-top: 20px;\">\n    The <strong> session chair <\/strong> will introduce each speaker and coordinate playback for online presentations. \n    Zoom links and access credentials will be distributed to all authors and attendees prior to the conference.\n  <\/p>\n\n<\/div>\n\n\n\n<div style=\"border: 2px solid #607D8B; background-color: #FAFAFA; border-radius: 10px; padding: 20px; font-family: Arial, sans-serif; color: #37474F;\">\n\n  <h3 style=\"color: #1565C0; margin-top: 0;\">Access to Uploaded Materials<\/h3>\n\n  <p style=\"font-size: 16px;\">\n    Please note that the links to uploaded <strong>videos<\/strong> and <strong>slides<\/strong> on EDAS will <strong>not be public<\/strong>. \n    They will be accessible only to the <strong>session chairs<\/strong> and the <strong>organizing committee<\/strong> for downloading and preparation purposes.\n  <\/p>\n\n<\/div>\n\n\n\n<div style=\"border: 2px solid #607D8B; background-color: #FAFAFA; border-radius: 12px; padding: 25px; font-family: Arial, sans-serif; color: #37474F; box-sizing: border-box;\">\n\n  <h2 style=\"color: #455A64; margin-top: 0;\">IEEE No\u2011Show Policy<\/h2>\n\n  <p style=\"font-size: 16px;\">\n    IEEE requires that all accepted papers be presented at the conference by one of the authors or a qualified proxy. \n    <strong>Papers that are not presented will not be published in IEEE Xplore\u00ae<\/strong>. Such papers may appear in the onsite proceedings but will be excluded from the IEEE digital library.\n  <\/p>\n\n  <ul style=\"font-size: 16px; padding-left: 20px;\">\n    <li>At least one author must register and attend to present the paper.<\/li>\n    <li>No\u2011shows are recorded and authors may be placed on a <em>No\u2011Show List<\/em>, which can affect future submissions to the IEEE MCSoC.<\/li>\n    <li>Registration fees are non\u2011refundable if the paper is not presented.<\/li>\n    <li>Presentation can be onsite or online (depending on conference format), but absence without valid reason counts as a no\u2011show.<\/li>\n  <\/ul>\n\n  <p style=\"font-size: 16px;
